Inbox Agent

Terms & Conditions

Last updated September 16, 2026 · Operated by Loop Resource Ltd. · inbox-agent.loopresource.ca

1. Agreement to these terms

These terms govern your use of Inbox Agent (the “Service”), operated by Loop Resource Ltd. (“Loop Resource”, “we”, “us”) at inbox-agent.loopresource.ca. By connecting an account to the Service, or by using it, you agree to them. If you do not agree, do not connect an account.

How we handle personal information is described in our Privacy Policy, which forms part of these terms.

2. Who may use the Service

The Service is an internal tool for Loop Resource leadership and other authorized personnel. Access is granted by an administrator, or by signing in from an approved email domain. You must be 18 or older. Your account is yours alone — do not share your credentials or your session, and tell us promptly if you believe either has been compromised.

3. What the Service does

The Service watches a Gmail mailbox you have authorized, classifies each new message into one of four priority tiers, labels it in Gmail, and notifies you about the most urgent mail on the channels you choose. It can also batch a summary, track threads awaiting a reply, and relay urgent alerts to a colleague who has agreed to cover for you.

The Service never sends and never deletes email. It holds no permission to do either. The only changes it makes to your mailbox are label changes — applying a priority label, and, where you have explicitly instructed it, archiving a message or marking it read. Every message remains intact and retrievable, and a human writes every reply.

4. Automated decisions are best-effort

Priority is assigned by an automated system that includes large language models. It will sometimes be wrong: it may rank an important message low, or an unimportant one high. The Service is an aid to triage, not a substitute for reading your own mail, and you remain responsible for your inbox.

We do not guarantee that any alert will be delivered, or delivered promptly. Do not rely on the Service as the only means of learning about anything time-critical, legally significant, or affecting anyone’s safety.

5. Your instructions and your content

You are responsible for the instructions and guidance you write. They refine how your own mail is prioritized and filed, and they cannot override the Service’s safety limits — in particular they cannot cause it to send or delete mail, and they cannot reach another person’s mailbox. You keep all rights in your email content; we claim none.

6. SMS messaging terms

These terms apply if you turn on SMS alerting. Programme name: Inbox Agent Priority Alerts, operated by Loop Resource Ltd..

What you will receive

Transactional alerts relating to your own Gmail mailbox:

  • a one-time verification code when you add or change your number;
  • an alert when a message arriving in your mailbox is classified ULTRA;
  • a reminder about an alert you have not yet acknowledged, if you enable that;
  • a relayed urgent alert for a colleague, if you have agreed to cover for them.

Each message contains the priority tier, the sender and the subject line — never the body of the email. We do not send marketing, promotional or advertising messages.

How you opt in

SMS is off by default. You opt in yourself on the Configure page, under Notifications, by entering your own mobile number and confirming the one-time code we text to it. A number that has not confirmed a code never receives an alert, and no one can enrol a number on your behalf.

Message frequency

Message frequency varies, and depends on your mail — the Service sends an alert only when a message arrives that it classifies as urgent. Interrupting alerts are capped by default at 5 per hour, and your quiet hours suppress them further.

Cost

Message and data rates may apply. We do not charge you for these messages; your mobile carrier’s standard rates apply.

Getting help

Reply HELP to any message for assistance, or email privacy@loopresource.ca.

Opting out

Reply STOP to any message to cancel. You will receive one confirmation and then no further messages. You can also remove your number at any time on the Configure page, or switch the SMS channel off there; removing the number deletes it from your settings. To start receiving alerts again, add your number and verify it once more.

Carriers and delivery

Mobile carriers are not liable for delayed or undelivered messages. SMS is a best-effort channel: delivery is not guaranteed, and it should not be your only means of receiving urgent information. The Service is available on major Canadian and United States carriers; carrier support may change.

Privacy of your number

Your telephone number is used only to deliver the messages described above, and is disclosed only to Twilio, our messaging provider. No mobile information is shared with third parties or affiliates for marketing or promotional purposes, and your consent to receive messages is never sold, rented or transferred. See the Privacy Policy for the full picture.

7. Acceptable use

You agree not to:

  • connect a mailbox you are not authorized to read, or use the Service to monitor another person’s mail without their consent — covering for a colleague requires them to accept the arrangement, and they can end it at any time;
  • attempt to circumvent the Service’s access controls, authentication, or the limits on what it may do to a mailbox;
  • attempt to induce the Service to send or delete email;
  • interfere with its operation, probe it for vulnerabilities without authorization, or subject it to automated load beyond normal use;
  • copy, resell, sublicense or reverse-engineer the Service.

8. Third-party services

The Service depends on Google, Slack, Twilio, our language-model provider, and our hosting provider. Your use of those services is governed by their own terms, and an outage or change at any of them may degrade or interrupt the Service.

9. Availability and warranties

The Service is provided “as is” and “as available”. To the fullest extent permitted by law, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, non-infringement, and any warranty that the Service will be uninterrupted, timely, secure, or free of error. We may change, suspend or discontinue any part of it.

10. Limitation of liability

To the fullest extent permitted by law, neither Loop Resource Ltd. nor its directors, officers, employees or suppliers is liable for any indirect, incidental, special, consequential or punitive loss, or for any loss of profit, revenue, data or goodwill, arising from your use of the Service — including any loss arising from an alert that was missed, late, undelivered, or assigned the wrong priority. Nothing in these terms limits liability that cannot be limited by law.

11. Suspension and termination

You may stop using the Service at any time by choosing Disconnect on the Configure page, which immediately revokes our access to your mailbox and stops all labelling and alerting. An administrator may disable or remove an account at any time, including to protect the Service or comply with the law. On termination, the Gmail watch is stopped and our access is revoked; information already held is deleted on the schedule set out in the Privacy Policy, or sooner on request.

12. Changes to these terms

We may update these terms. The date at the top always reflects the current version, and we will give notice in the application or by email before a material change takes effect. Continuing to use the Service after a change takes effect means you accept it.

13. Governing law

These terms are governed by the laws of British Columbia, Canada and the federal laws of Canada that apply there, without regard to conflict-of-laws rules. The courts of British Columbia, Canada have exclusive jurisdiction over any dispute arising from them.
